[01] Information we collect
We collect the following categories of personal information:
(a) Information you provide. Contact details submitted through forms on this site (name, email address, company name, role, message content), engagement-related information you share with us during the course of an engagement (contractual details, project artefacts, account credentials only when strictly necessary for delivery), and billing information.
(b) Information collected automatically. Limited operational metadata from your interaction with this website, including device class, browser type, referrer URL, pages visited, approximate geographic region (derived from IP address), and timestamps.
(c) Information from third parties. We may receive information about you from third parties where you have authorised the disclosure (for example, when you authenticate with a federated identity provider during an engagement, or when an existing client refers you to us).
[02] How we use information
We use personal information for the following purposes:
- To respond to inquiries submitted through this website and progress them through our sales process.
- To deliver, support, and improve the engagements you have commissioned from us.
- To comply with our legal, accounting, and regulatory obligations.
- To detect, investigate, and prevent fraud, abuse, and security incidents.
- To improve the performance, content, and structure of this website.
We rely on the following lawful bases under the GDPR: (i) the performance of a contract with you or your organisation, (ii) compliance with a legal obligation, (iii) your consent where required, and (iv) our legitimate interests in operating, growing, and securing our business, provided these are not overridden by your interests, rights, or freedoms.
[03] Sharing and disclosure
We do not sell, lease, or trade personal information. We share personal information only with the following categories of recipients, and only to the extent necessary for the purposes described in this Policy:
- Service providers and data processors who support our operations (for example, our email delivery provider, our hosting provider, and our analytics provider), under contractual terms that meet GDPR Article 28 standards.
- Professional advisers (accountants, lawyers, auditors) where strictly required.
- Authorities, regulators, or law enforcement, where compelled by valid legal process.
- A successor entity in connection with a merger, acquisition, or restructuring, subject to the protections of this Policy.
[04] International transfers
POET operates from the United Arab Emirates. Our service providers operate in the European Union, the United Kingdom, and the United States. Where personal information is transferred outside the jurisdiction in which it was collected, we rely on appropriate safeguards, including Standard Contractual Clauses, adequacy decisions where applicable, and supplementary measures as required.
[05] Retention
We retain personal information only for as long as necessary to fulfil the purposes for which it was collected, including any legal, accounting, or reporting requirements. Inbound contact submissions are typically retained for up to 24 months from the last interaction. Engagement records are retained for the duration of the engagement and a further period required by applicable law (typically 5 to 7 years).
[06] Your rights
Subject to applicable law, you have the right to: (i) access the personal information we hold about you, (ii) request correction of inaccurate or incomplete information, (iii) request erasure of your personal information in certain circumstances, (iv) request restriction of processing, (v) object to processing based on our legitimate interests, (vi) request portability of certain information you have provided to us, and (vii) withdraw consent at any time where processing is based on consent.
To exercise any of these rights, please contact us at hello@poettechnologies.ai. We will respond within 30 days. You also have the right to lodge a complaint with your local data protection authority.
[07] Cookies and similar technologies
This website uses a small number of essential cookies and similar technologies to operate the site, remember your preferences, and gather aggregate analytics about site performance. We do not run third-party advertising trackers on this site. Strictly necessary cookies do not require consent. Where any non-essential cookie is used, we will obtain consent in compliance with applicable law.
[08] Security
We maintain administrative, technical, and physical safeguards designed to protect personal information against unauthorised access, alteration, disclosure, or destruction. No system is perfectly secure; in the event of a personal data breach affecting your information, we will notify you and the relevant authorities in accordance with applicable law.
[09] Children's privacy
This website and POET's services are directed at businesses and are not intended for children under 16. We do not knowingly collect personal information from children. If you believe we hold information about a child, please contact us so we can delete it.
